Job Summary:

Interact with students, staff, parents, vendors, suppliers, visitors, etc. and cater to their needs by own-self or routing to the appropriate person.

Guide students, staff and outsiders in their transactional needs along with fee collection, documentation, record keeping and general administration routines. Reports to the Administration Manager.

Responsibilities:
  • Performs the role of receptionist in interacting with parents, suppliers, visitors, etc.
  • Communicates with vendors / suppliers and obtains quotes for internal material or service requirements.
  • Maintains asset tracking system to document all physical assets of the institution and marks them with bar code or labelling system.
  • Maintains all staff personal files secure and confidential with all needed originals and copies.
  • Maintain student database updated.
  • Collects fees, documents and issues relevant receipts.
  • Obtains all invoices, vouchers, etc. for payments and routes it to the concerned approval authority.
  • Reconciles and submits daily cash receipts (fee, stationery, copy services, etc.) to the Accountant.
  • Maintains inventory of stationery and documents issue made to departments and individuals.
  • Monitors staff attendance (Biometric systems or manual register) and provides inputs to Administration Officer / Manager.
  • Documents approved staff leave applications and maintains tracking of leave balance.
  • Maintains purchase receipts, contracts, warranty certificates, insurance certificates, etc.
  • Maintains approved institutional policies (Academic & Administration) updated in files accessible to users (Hard or soft copy).
  • Performs any other responsibility or task assigned by the Administration Officer / Manager.
Educational Qualification:

Degree in any discipline

Experience:

Minimum of 2 years’ experience as Office Administrator, Secretary, Clerk or Cashier.
